Terms and Conditions of Sale and Services

These Terms and Conditions apply to all goods and services supplied by The Print Box (“the Company”) to any customer (“the Customer”). By placing an order, the Customer agrees to be bound by these Terms.

1. Definitions

Company – The Print Box
Customer – Any individual or business placing an order
Goods – Any printed, embroidered, wrapped, installed or supplied product
Services – Design, print, embroidery, installation, vehicle wrapping, signage, digital or related services
Order – Any confirmed quotation, purchase order, or written acceptance
Premises – The Company’s site or customer site where work is carried out

2. Quotations & Orders

2.1 All quotations are valid for 14 days unless otherwise stated.
2.2 An Order is only accepted once confirmed in writing and, where required, a deposit is paid.
2.3 The Company reserves the right to refuse any Order.
2.4 All services may be purchased separately unless otherwise stated.

3. Deposits & Payments

3.1 Deposits are required to secure production time and installation slots.

Vehicle Graphics Deposit Structure:

• Up to £500 – £150 deposit
• £600–£1,000 – £250 deposit
• £1,000+ – £350 deposit

Deposits are non-refundable if cancellation occurs within 3 working days of the agreed installation date.

3.2 Standard payment terms unless agreed otherwise:

• Deposit (To Secure Time Slot)
• Pro-forma invoice if you are a first time customer
• Existing customers (30 days month end)

3.3 The Company reserves the right to withhold goods or services until full payment is received.

4. Minimum Order Values

4.1 Workwear (customer-supplied garments / “free issue”) – Minimum £25 order value excluding digitising and embroidery setup fees.

4.2 Print Services – Minimum order of 1 square metre applies to large format print.

4.3 The Company reserves the right to decline orders below stated minimums.

5. Cancellations & Rescheduling

5.1 7+ days notice – No charge (unless bespoke goods already in production).
5.2 1–3 days notice – Deposit retained.
5.3 No Show – Full deposit retained.
5.4 Custom printed or embroidered items cannot be cancelled once production has commenced.
5.5 Installation rescheduling due to unsuitable site conditions may incur additional charges.

6. Artwork & Proof Approval

6.1 All artwork must be approved over email.
6.2 Once approved, The Company accepts no responsibility for spelling errors, grammar mistakes, layout issues, sizing, positioning or colour selection.
6.3 Colour representation on screens may differ from printed output due to device calibration.
6.4 The Company retains intellectual property rights in all artwork unless otherwise agreed in writing.

7. Production Tolerances

7.1 A tolerance of ±2% in colour variation, size, positioning and quantity is deemed acceptable.
7.2 Exact Pantone matches cannot be guaranteed in embroidery or print.
7.3 Slight material joins or seams may be necessary due to surface constraints.

8. Vehicle Graphics – Specific Terms

8.1 Vehicle Preparation

Vehicles must be washed the day prior to installation.

Failure to present a clean vehicle without prior agreement will incur a £50 preparation charge.

The Company undertakes a 3-stage cleaning process however the vehicle must not have wax or polish on the vehicle.

Vehicles treated with silicone must be washed twice. The Company shall not be liable for adhesion failures caused by silicone residues.

8.2 Application Times

Quoted times are estimates and may vary due to:

• Vehicle condition
• Late arrival
• Unsuitable working conditions
• Additional fixture removal
• Material type

Customers are advised to allow a buffer day.

The Company reserves the right to withdraw from installation if conditions are unsuitable.

8.3 Vehicle Condition

The Company cannot guarantee underlying paintwork will remain undamaged upon vinyl removal.

If a vehicle has been repainted, damaged, or previously repaired, vinyl removal may result in paint lifting.

Vinyl does not damage original factory paint in normal conditions.

Fresh paint must cure for a minimum of two weeks prior to application.

Vehicle wraps are cosmetic finishes and do not repair existing defects.

8.4 Removal of Trims & Components

For optimal finish, trims, badges, rubbers or lights may require removal.

The Company shall not be liable for breakages due to corrosion, decay, or prior repairs.

Customers may be requested to remove trims prior to installation.

8.5 Installation Environment

If installation occurs at a customer site, a dry, dust-free indoor environment must be provided with panel temperatures between 15°C and 28°C.

Failure to provide suitable conditions may result in rescheduling and additional charges.

9. Workwear & Embroidery Terms

9.1 Customer-supplied garments are accepted at the Customer’s risk.

The Company shall not be liable for:

• Heat press damage
• Shrinkage
• Dye migration
• Fabric incompatibility

9.2 Digitising charges apply where logos require conversion for embroidery.

9.3 Slight positioning variations in embroidery are acceptable.

10. Print & Large Format Terms

10.1 Print output may vary slightly in colour and finish.
10.2 Outdoor longevity depends on environmental exposure.
10.3 The Company is not liable for failure caused by improper surface preparation where installation is not carried out by The Company.

11. Warranty

11.1 Warranty is limited to manufacturer warranty on materials used.

11.2 Warranty is void if:

• Improper care instructions are not followed
• Pressure washers, brushes or automated car washes are used
• Goods are modified or altered

11.3 Installation warranty applies only where conditions outlined in Section 8.5 are met.

12. Care & Maintenance

Vehicles must be hand washed using sponge and tepid water only.

Pressure washing, automated car washes or harsh chemicals may invalidate warranty.

Only vinyl-safe waxes or polishes should be used.

13. Installation & Standing Time

Additional charges may apply where:

• Vehicles are not ready upon arrival
• Cleaning is required
• Agreed number of vehicles unavailable
• Poor working conditions prevent completion

Standing time and additional travel may be charged.

14. Retention of Title

All goods remain the property of The Print Box until full payment is received.

15. Liability & Limitation

15.1 The Company’s total liability shall not exceed the total value of the contract.

15.2 The Company shall not be liable for indirect or consequential losses including loss of profit, loss of business or reputational damage.

15.3 Vehicles remain at the owner’s risk at all times.

16. Insurance

Customers must ensure their vehicle(s) remain insured whilst on Company premises.

The Company bears no insurable interest in customer vehicles.

17. Storage

Goods not collected within 14 days of completion may incur storage charges.

18. Digital & Website Services (Where Applicable)

18.1 Hosting is provided via our sister company thedenn unless otherwise agreed.

18.2 Plugin updates, maintenance and security are subject to separate agreements with our sister company.

18.3 The Company shall not be liable for third-party platform failures.

19. Data Protection

The Company processes customer data in accordance with UK GDPR and its Privacy Policy.

20. Health, Safety & Environmental Compliance

The Company operates in accordance with UK Health & Safety regulations and disposes of waste materials responsibly.

21. Force Majeure

The Company shall not be liable for delays caused by events beyond reasonable control including but not limited to supply chain disruption, weather, illness, or government restrictions.

22. Complaints Procedure

Complaints must be submitted in writing within 7 days of delivery.

The Company will review and respond within 14 days.

23. Jurisdiction

These Terms are governed by the laws of England and Wales.
